Volunteer network privacy

Updated 30 October 2026

BehindEveryGame uses this portal to welcome volunteers and coordinate participation in sporting events and learning opportunities.

Information used by the portal

Your account uses an email address and an account identifier. If you choose Google sign-in, Google confirms your identity through Supabase, our account provider. You provide your name, a contact phone number, community, skills, interests, availability, talents, and date of birth so we can coordinate opportunities and check age eligibility. You may also add an introduction and optional profile photo. Your phone number is required before joining a new opportunity and is visible only to you and BehindEveryGame administrators. For volunteers aged 13–17, an administrator may record a guardian’s name, relationship, contact detail, how consent was confirmed and when it was recorded. We also store event registrations, course enrolments, lesson progress, quiz attempts and scores, earned course badges, self-reported external-course starts, submitted completion certificates and their review decisions, agreement and event-waiver acceptances (the exact document version, wording snapshot and time), and administrator-given recognition awards. If you post a volunteer story, we store its text, optional photo, comments, author name and posting time. Event library photos include the related event, caption and posting time.

Why we use it

We use account details to sign you in and send account emails. Profile details, registrations and course progress help coordinate volunteers, learning and opportunities. Certificates submitted for external courses are used only to review evidence for your volunteer learning record. Talent choices help administrators find volunteers for suitable roles. Stories and photos help members share their experiences. Joining does not subscribe you to general email updates. If you opt in, we email new volunteer opportunities and network announcements; assignment, shift-change and day-before event reminder emails may be sent as part of coordinating your participation.

Who can access it

BehindEveryGame administrators can view volunteer profiles, talents, registrations, course progress, quiz scores, privately submitted course certificates, review notes, badges, recognition awards, agreement and waiver acceptances and profile photos. Other volunteers cannot view your private profile or registrations through this portal. Stories, their comments and their photos are visible to signed-in volunteers. Posting or commenting requires age eligibility and, for volunteers aged 13–17, confirmed guardian consent. Official event photo library images are visible to signed-in volunteers when their event is published. Do not post photos of other people without their permission. Profile photos are stored separately in private Supabase Storage and are used on volunteer IDs. Submitted course certificates are stored in a separate private bucket, accessible only to you and administrators; certificate files are not shown on IDs or public profiles.

Anyone with a volunteer ID or its QR link can view the volunteer name, membership status, and current and next-48-hour assigned event roles. The link does not display date of birth, age, guardian details, photo, email address or contact details. Volunteers can replace the QR code in their profile to invalidate an old link. Supabase provides authentication and database services; Resend provides delivery of account emails. Netlify hosts the website. Google processes sign-in when you choose that option.

Optional device alerts

If you enable push alerts, the portal stores a device-specific push endpoint and encryption keys with your account. Your browser or operating system push provider uses that endpoint to deliver alerts about opportunities, assignments and network updates, even when the portal is closed. An alert title and short message may appear on your lock screen. You can turn off push alerts for this device in Updates or in your device settings. The portal removes this device subscription when you sign out here; providers may retain delivery metadata under their own terms.

Your choices

You can update your profile, remove your own stories or comments, and cancel your own registrations in the portal. Administrators can remove stories, comments and official event photos. Please avoid sharing sensitive personal information in posts or free-text fields. You can delete your volunteer account and its associated portal data from Account after signing in. This removes your profile, ID, registrations, course progress, badges, stories, comments, submitted course certificates and your uploaded profile or story photos. If deletion fails or you cannot sign in, contact volunteer@behindeverygame.com for help.

Safeguarding messages

Safeguarding concerns sent to safeguarding@behindeverygame.com or to a named BEG contact are handled outside the public portal. Please do not post reports in volunteer stories or group chats. Information may be shared with people who need it to respond to a concern or with relevant authorities when necessary to protect someone or meet legal duties. See our safeguarding and reporting page.

Account storage and external links

The portal stores session information in your browser to keep you signed in. Volunteer information is stored in the database, and photos are held in Supabase Storage. Linked courses and other external websites, including World Athletics and OpenLearn Create, have their own account rules and privacy practices. BehindEveryGame does not receive your live activity from those sites.
